Editing Questions in the Discussion Tab
Add/Edit Annotation Categories
The Discussion Area
In the Discussion area, the ‘Questions’ list on the left-hand side is where you can navigate through the list of questions. Here you will see the Topics, the individual questions in each topic as well these bubble icons with numbers that indicate if there are new posts on questions since you were last in the study.
The color of the bubble will mark if there has been a moderator reply (blue bubbles ), observer reply (red bubbles
), or participant replies (black bubbles
). Clicking on the question name on the left will display the question on the right. Clicking on the notification bubbles will filter and just show new items.
When a question is clicked into the question/reply area will take up the largest part of your screen, this is where you will see all of the questions, your responses, and other user’s responses. This area is where participants enter in their replies and read your question text / watch your question videos. Essentially this is where the discussion will be taking place.
How to Probe Participants
Click the Reply button below a participant’s post. If video responses are enabled on the question you can then choose to reply with text or video.
If the question is set up to NOT allow for video responses once the reply button is selected a text box will appear for you to type into. If video responses are enabled you will need to choose the Text option from the menu that appears when you click on the Reply button.
Once you have the text box open, type in your probe question that you would like to ask the participant.
Once you begin typing options will appear. Select the Make Private checkbox if you would like to send this message into the board without other participants seeing it. Click the Send Probe Email checkbox to send participants a note directly to their email inbox that asks them to come back into the board. Clicking this Send Probe Email checkbox is the best way to notify your participants of a new post.
Click Post Reply to post your probe to the board.
If you have video responses enabled on your board you can also respond with video. Click the Reply button below a participant’s post. If video responses are enabled on the question you can then choose to reply with text or video. Choose Video to reply with video.
Once selected, the webcam controls will appear. Click on the large red dot in the middle of the video recording screen to begin recording. You will be counted down before recording starts. Record as you see fit.
You can click the stop button and playback before posting your reply. Again, you can also select the Make Private checkbox if you would like to send this message into the board without other participants seeing it. In addition to this, you can also click the Send Probe Email checkbox to send participants a note directly to their email inbox that asks them to come back into the board. Click Post Reply to post your probe to the board.
Replying with your mobile device
Click the Reply button below a participant’s post. If video responses are enabled on the question you can then choose to reply with text or video. Choose Video to reply with video or Text to reply with text. Submit your response when you are done.
Send Email Functionality
At any time, a moderator can send an email to any participant from the discussion area telling them to come back to a particular post or on a specific question by clicking the Send Email icon.
The default template for the Send Email link is as follows:
Hello [SCREENNAME]:
In regards to...
Topic: [TOPICNAME]
Question: [QUESTIONNAME]
Username: [USERNAME]
Password: [PASSWORD]
Room Number: [ROOMNUMBER]
Login Page: [LOGINURL]
Probe Notification
There is the ability to send a probe notification via email when responding to a participant post. To do so, check the box for Send Probe Email when you reply to a participant that needs a probing notice.
The default probe email is as follows:
Hello [SCREENNAME]:
The moderator has requested you return to [DIRECTLINKACCESS] to provide additional information. Thank you, we look forward to seeing you back in the group!
Username: [USERNAME]
Password: [PASSWORD]
Room Number: [ROOMNUMBER]
Login Page URL: [LOGINURL]
The [DIRECTLINKACCESS] fills in a link that will get the participant back to where you made your probe with a textbox open for them to enter text into the discussion.
Profiles and Avatars
If you have avatars set up in your profile area, an icon or a small picture will appear with every person’s reply on the Discussion board. This avatar can be clicked on to see the participant’s full profile.
Segmentation and Grouping
If the groups feature is turned on in your discussion board, any subgroups that your participants belong in will appear next to the participant’s name. For a full description on how to set up groups and segmentation go here: What are the Group Settings on questions and topics? and How do you set up subgroups in the itracks board software?
You can also use the drop-down box in the upper right corner to filter the discussion by subgroup.
Viewing Individual Transcripts
The names of all participants are links within the discussion. When the link is clicked you will see that one participant’s responses to the board so far. You can also download the individual transcripts from the individual’s view that comes up in a separate window.
Polling Questions
When a question is set up as a single choice or multiple choice question, moderators and observers will see a chart indicating the number of responses for each answer option. A color swatch, as well as the option that was selected, will appear above the participant’s posts.

Editing Questions in the Discussion Tab
Moderators can edit any question by clicking the Options button below the question text in the discussion area and choosing the Edit option from the menu that appears.
When editing, you will be able to edit question text. If a question is posted and has collected responses, you will not be able to add or delete options from close-ended questions. In this case, you will need to create a new data set by creating a new question.
Editing and Deleting Participant Posts
You can edit, delete, annotate, and move participant posts while logged in as a moderator, by going to the options button beside the post you want to edit. You can access the menu by clicking on it.
Edit Notes – This opens the Edit Notes window, allowing you to add or edit categorized annotations
Edit – This allows you to edit the participant's response, either correcting an error for the participant or removing unwanted/inappropriate text
Move – This opens the Move Response window, allowing you to move a participant's response to another question if by chance it was posted in the wrong place in error
Delete – This will remove the current post, and any responses to it, from the discussion. They will still be available in the transcript, by selecting the “Include Deleted Posts” checkbox
Add/Edit Annotation Categories
Annotation categories are an easy way to begin sorting and analyzing the data from within the discussion. You can edit the categories to be anything you need them to be, and you can also filter the transcript based on these categories. You can have multiple annotations per post.
